We are searching for an Administrative Assistant II to support our Intensive Residential Treatment Services (IRTS) programs.  Anchor House and Maghakian Place are programs where clients stay for 30 - 90 days to support their mental health and co-occurring disorder needs. This position is responsible for providing administrative support and acting as the first point of contact with external and internal customers.  In addition this role generates and distributes reports and manages financial data reporting.  The Administrative Assistant II will:

  • Provide excellent customer service by greeting visitors and callers, providing information, taking messages and/or directing inquiries to the appropriate person
  • Ensure that all program information and correspondence is handled in accordance with company confidentiality standards
  • Create correspondence, compile statistical information, record meeting minutes and maintain general financial data
  • Develop and maintain paper and electronic filing systems and database systems and tools
  • Coordinate purchasing and tracking of office supplies, reserving rooms and distributing mail, etc.
  • Handle confidential information with an exceptional level of discretion

This is a shared position with Anchor House and Maghakian Place with three days at Maghakian and two days at Anchor. The candidate will need to be able to drive and travel between programs.

Required qualifications:

  • Strong communication and interpersonal skills
  • High degree of accuracy in all activities
  • Exceptional sense of confidentiality and discretion
  • Valid driver's license, clean driving record and reliable vehicle

AND EITHER

  • High School Diploma / GED
  • Three years of administrative experience

OR

  • Associate's degree
  • One year of administrative experience

Preferred qualifications:

  • Experience working in an administrative capacity in a nonprofit environment
  • Experience in a mental health care setting
